How WP Clerks collects, uses, stores and protects personal information β written to be read, not skimmed past.

Who we are
WP Clerks (“WP Clerks”, “we”, “us” or “our”) is a sole proprietorship owned and operated by Jennifer Karen Patterson, located at 320 Redding Rd, Lexington, KY 40517, USA. We provide WordPress maintenance, security, performance and support services. We are the controller of the personal information described in this policy. This policy applies to this website and to the services we provide to clients. It does not apply to third-party websites we link to, which have their own policies.
Information we collect
We collect only what we need to answer enquiries and deliver our services:
- Information you give us. Name, business name, email address, telephone number, website address and the content of the messages you send through our contact form, by email or by phone.
- Client account information. Billing contact details, service addresses, invoices, and the credentials required to perform work on your website. Credentials are stored in an encrypted password manager with access limited to assigned staff.
- Technical information. IP address, browser type and version, device type, operating system, referring URL, pages viewed and the date and time of your visit. This is collected by our web server logs and, with your consent, by analytics cookies.
- Cookie data. As described in our Cookie Policy.
We do not knowingly collect sensitive categories of personal information, and we do not collect information from children under 13.
How we use your information
We use personal information for the following purposes:
- To respond to your enquiries and provide the free site audit you request
- To provide, maintain, secure and improve the services you have purchased
- To issue invoices, process payments and keep accounting records
- To send service communications such as maintenance reports, incident notices and renewal reminders
- To measure and improve the performance of our own website and marketing, where you have consented
- To comply with legal, tax and regulatory obligations
- To establish, exercise or defend legal claims
We rely on your consent for optional analytics and advertising cookies, on the performance of a contract for delivering our services, and on our legitimate interest in running and securing our business for the remainder.
Marketing communications
We do not sell mailing lists and we do not send unsolicited bulk email. If you opt in to our occasional client newsletter, every message contains a one-click unsubscribe link and we act on unsubscribe requests immediately. Transactional messages relating to a service you have purchased β invoices, maintenance reports, incident alerts β are not marketing and continue while your account is active.
Who we share information with
We never sell or rent personal information. We share it only with service providers who help us operate, and only to the extent necessary:
- Hosting and infrastructure providers that store this website and our backups
- Payment processors that handle card and ACH transactions (we never store full card numbers)
- Accounting and invoicing software used to issue and record invoices
- Analytics and advertising platforms, where you have given consent, including Microsoft Advertising and Bing Webmaster Tools
- Professional advisers such as our accountant or legal counsel, where required
- Law enforcement or regulators, where we are legally obliged to disclose
All providers are bound by contract to process information only on our instructions and to keep it secure.
International transfers
WP Clerks operates from the United States and our primary systems are located in the United States. If you contact us from outside the US, your information will be transferred to and processed in the US. Where we use providers that process data outside your country, we rely on appropriate safeguards such as standard contractual clauses.
How long we keep information
Enquiries that do not become clients are deleted after 24 months. Client records are kept for the duration of the engagement and for seven years afterwards to satisfy US tax and accounting requirements. Website access logs are retained for 90 days. Backups of client sites are retained according to the plan purchased (30 to 180 days) and are then permanently deleted. Credentials are deleted immediately when an engagement ends or on request.
How we protect information
We use encryption in transit (TLS) across this website and our client systems, encrypted storage for credentials, multi-factor authentication on all administrative accounts, least-privilege access controls, and regular staff training. No method of transmission or storage is completely secure, but we review our safeguards annually and will notify affected individuals and any relevant authority without undue delay if a breach is likely to cause harm.
Your rights and choices
Depending on where you live, you may have the right to:
- Request a copy of the personal information we hold about you
- Ask us to correct information that is inaccurate or incomplete
- Ask us to delete information we no longer need to keep
- Object to or restrict certain processing, including direct marketing
- Withdraw consent for cookies or marketing at any time
- Request your data in a portable, machine-readable format
- Lodge a complaint with your local data protection authority
California residents may additionally request disclosure of the categories of personal information collected and may opt out of any “sale” or “sharing” of personal information. WP Clerks does not sell personal information. To exercise any right, email contact@wpclerks.com or call (689) 238-8054. We respond within 30 days and will never discriminate against you for exercising a right.
Do Not Track and global privacy signals
Our cookie banner honors your choice on every page. Where your browser sends a Global Privacy Control signal, we treat it as an opt-out of non-essential cookies for that browser.
Third-party links
Our website may link to third-party sites and tools. We are not responsible for their content or privacy practices, and we encourage you to read their policies before providing personal information.
Changes to this policy
We review this policy at least annually. If we make a material change we will update the effective date at the top of this page and, where appropriate, notify clients by email. Continued use of our website or services after a change means you accept the revised policy.
